Cancellation & No‑Show Policy

At GA Clinic‑Link Transport, every journey is planned in advance so we can provide a reliable, safe, and stress‑free service for all clients. To help us manage our schedule fairly and efficiently, the following cancellation and no‑show terms apply to all bookings, whether made by individuals, families, care homes, GP surgeries, NHS services, or other organisations.

Cancellations With More Than 24 Hours’ Notice

If you need to cancel a booking, please let us know more than 24 hours before the scheduled pick‑up time. There is no charge for cancellations made with sufficient notice.

Cancellations Within 24 Hours

Cancellations made within 24 hours of the scheduled pick‑up time may incur a cancellation fee. This fee helps cover the driver time, vehicle allocation, and other bookings we may have declined to accommodate your journey. Any applicable charge will be invoiced to the individual or organisation responsible for the booking.

No‑Show or Not Ready at Pick‑Up

The full agreed fare may be charged if:

  • Our driver arrives and the journey is no longer required

  • The passenger is not at the pick‑up address

  • The passenger is not ready to travel

  • We cannot make contact after reasonable attempts

  • Access to the passenger is refused or unavailable

Because each journey is pre‑booked and scheduled specifically for the client, a no‑show prevents us from offering that slot to someone else who may need it.

How to Cancel or Amend a Booking

To ensure your booking is updated immediately, all cancellations or changes must be made by telephone.

If your call is not answered, please send us an email, but you must follow up that email with a phone call as soon as possible. This ensures your cancellation is received promptly and avoids any unnecessary charges.

Messages sent only by email, text, or social media may not be seen in time and cannot be accepted as formal notice without a follow‑up call.

We understand that plans can change unexpectedly. Whether you are an individual client, a family member, a care home, or a healthcare professional, please contact us as soon as possible if you need to amend or cancel a booking. We will always do our best to support you and accommodate changes where we can.
